Legal & data protection

Privacy Policy

This Privacy Policy explains how Nutrition Pathway Book collects, uses, and stores personal data when you use this website or request a consultation. It applies to nutritionpathwaybook.site and to enquiries made by email. It does not cover third-party websites linked from these pages.

Effective date: 21 September 2026. If anything here is unclear, you can write to us at [email protected] and we will explain it in plain terms.

Who is responsible for your data

Data controller

Nutrition Pathway Book is the data controller for information submitted through this website. That means we decide why your information is held and how it is looked after.

How to reach us

Contact for any privacy question or request is the email address listed on the Contact page: [email protected]. Our postal address is 68 Queen Square, Harbourside, Bristol, BS1 4NZ.

Response time

Requests are handled within one calendar month, as required under UK data protection law. If a request is complex we will tell you and confirm a new date.

What we collect

Two kinds of information arrive at Nutrition Pathway Book: what you choose to send us, and what the server records automatically. They are kept separate and used for different reasons.

This website does not collect payment card details. If you pay for a consultation, that is handled outside these pages and never through a form on this site.

What we hold

Name
Collected when you submit a booking request, so we know who is asking.
Email address
Used to reply to you, confirm appointment times, and send anything you have asked for.
Topic selected
The area of nutrition support you pick, which helps us route your enquiry to the right nutritionist.
Message field
Anything you choose to type, including context about your goals or current routine.
Email correspondence
If you write to us directly, we keep that thread alongside your records.
Server logs
Your IP address, browser type and the pages you visited. Used for security and to keep the site working, not for profiling.

We do not run advertising pixels on this site, and we do not build marketing profiles from the pages you read.

Why we use it

Running your consultation

We use your details to respond to your request, schedule an appointment, prepare for the consultation, and keep a record of advice given. Where you have asked a question, we use your email address to reply.

We do not use your information for advertising or sell it to anyone. Where you have consented to being contacted about a specific follow-up, you can withdraw that consent at any time by email, and we will stop that particular contact.

Health information

Special category data

Information you share about your health, medication, or medical history is treated as special category data. We process it only to provide the service you requested, on the basis of your explicit consent given when you submit the form or email us.

It is not shared beyond the nutritionist handling your case unless you agree or the law requires disclosure. If you would rather not put health details in writing, say so and we will arrange the conversation another way.

How long we keep records

Retention follows the record-keeping practice expected of health-related services in the UK. Different kinds of data are kept for different periods, so nothing is held longer than it needs to be.

Consultation records

Seven years

Kept from the date of your last appointment, in line with professional record-keeping practice for health-related services.

Enquiries

Twelve months

Booking enquiries that do not lead to an appointment are deleted within twelve months of the last exchange.

Server logs

About 30 days

Kept for a shorter period so we can investigate faults and security events, then removed.

If a record reaches the end of its period while a complaint, insurance matter, or legal question is open, we may need to hold it until that matter closes. We will tell you if this affects your request.

Your rights

Under UK data protection law you have the right to access the personal data we hold about you, to ask for corrections, to request deletion where no legal obligation requires us to keep records, to restrict processing, and to object to certain uses. To exercise any of these, email us with the details of your request.

How do I get a copy of my records?

Email us with the words "data request" in the subject line and tell us which email address your enquiry used. We will confirm what we hold and send it to you within one calendar month. There is no charge for the first copy.

Can you delete my consultation notes?

Often yes, but not always immediately. Clinical records for health services are kept for a set period, so deletion may have to wait until that period ends. Booking enquiries with no appointment behind them can be removed as soon as we confirm the details.

Can I stop follow-up emails?

Yes. Write to us and say which contact you want to stop. Where you have consented to a specific follow-up, withdrawing that consent takes effect straight away. Appointment confirmations tied to a booking you have made are separate from marketing contact.

Who do I complain to if something is wrong?

You have the right to complain to the Information Commissioner's Office if you believe your data has been handled improperly. We would rather hear from you first, so please email us and give us a chance to put it right before you escalate.

Changes to this policy

If this policy changes, the updated version will be published on this page with a new effective date. Material changes affecting how we use your data will be communicated to anyone with an active enquiry or appointment.
